The Open Society Forum (OSF)  is a non-governmental organization aimed to promote active engagement of citizens and civil society organizations in civic life. The OSF goals are to create conditions conducive to citizen’s engagement in policy formulation and implementation monitoring processes, facilitate broad public access to policy relevant information resources, and encourage improved policy research and analysis.   The OSF  is now accepting applications for the following position. The Program Assistant will work under immediate supervision and guidance of two Program Managers. The assistant will perform a variety of administrative functions including event coordination.

Key responsibilities

  • Preparation for meetings. Screen requests for meetings and phone calls. Necessary arrangements for meetings are made prior to meeting, such as made bookings for venues and transportation arrangements are made. All phone calls are coordinated and if necessary follow-up actions are taken as well as phone calls to countryside and other countries are made and the log is kept.
  • Event arrangements.  Be in charge for all type of logistics during Public events/ workshops/ seminars/ roundtables and work with workshop organizing support unit group
  • Travel arrangements. Coordinate and oversee the travel arrangements for staff to countryside and abroad (make tickets/hotels reservations, prepare visit/trip schedule, arrange lunches/dinners, cultural events etc.)
  • Visits arrangements. Coordinate and oversee the international visits arrangements (make tickets/hotels reservations, prepare visit schedule, arrange lunches/dinners, cultural events etc.)
  • Assistance with financial document and grant management . All finance documents are filed and clearly marked. Once the payment raises, the payment requests are filled and requested in the grant management system. Daily communications with grantees and tracking of grant related deadlines including reports and product submissions.
  • Correspondence. Overseeing the system for logging, distributing, tracking and filing of incoming and outgoing correspondence.
  • Public communication: Be prepared to communicate the basic OSF mission and strategy to visitors, callers and random information requests.
  • Data collection. Relevant data on policies and donor activities and raw data on specific sectors and industries shall be gathered as possible as in broad and in depth level.
  • Translation. First screening of translation and editing of any books, documents and research shall be done accordingly.

 

Qualifications:

  • Excellent knowledge of English, both written and verbal
  • Excellent organizational, administrative and communication skills
  • Firm knowledge of relevant software programs including word processing (Microsoft Word for Windows), e-mail, database (Access or similar program), and spreadsheets (Excel).
  • Self-motivation with an ability to set, take responsibility for, and meet goals
  • Ability to work effectively and collaboratively in a team – oriented environment
  • Ability to work under pressure
  • Discretion and ability to handle confidential issues
  • University degree with at least 2 years of relevant work experience
